Microsoft Project Online Essentials

Project Online helps you to stay in charge, focused and organized when managing projects.

Project Online offers features and tools that can be chosen for whatever the project’s or your needs are. Project Online integrates with Microsoft Teams and allows several features including file sharing, chatting, meetings which allows collaboration on the project from any location. Project Online also integrates with Microsoft Power BI and allows you to build visual dashboards, ability to drill down into the project’s details for updated status on progress for the creation of reports.

Project Online Essentials is available by request for Departmental use for faculty and staff, however it is not available for Guests or Students.  Project Plan 3 and Plan 5 are not included in Project Online Essentials but is available by request for an additional cost. The chart in the Resources and Related Services section outlines the available features for each version.

Project Essentials
  • Project Home
    • Starting in a centralized view, create new projects easily, quickly access important, top-of-mind projects, or open projects most recently worked on.
  • Grid view
    • Plan and manage projects, using an ordered list of tasks.
  • Board view
    • Visually track project tasks for better workflow and status, using out-of-box and custom task boards.
  • Timeline (Gantt) view
    • Track and understand dates, assignments and the relationships of project tasks in visual timeline view.
  • Collaboration and communication
    • Work together on projects, using Microsoft Teams.
  • Coauthoring
    • Work together with stakeholders and team members to edit and update task lists, project schedules, and more simultaneously.
  • Project planning and scheduling
    • Includes familiar scheduling tools to assign project tasks to team members and use different views like Grid, Board, and Timeline (Gantt chart) to oversee the schedule.

    • READ ONLY ACCESS - Build visual, interactive roadmaps by aggregating different project types across your organization for visibility.

Ordering

Ordering Planner and Project Plan 3 or 5
  • A request for a quote will need to be sent by the requestor to our Microsoft Licensing vendor, currently SHI msmidatlantic@shi.com.
  • SHI will send quote to requestor, if approved by requestor, the requestor will need to request SHI to enter the quote into Workday.
  • Requestor will need to complete purchase through Workday.
  • SHI will complete the purchase within their system and reach out to Microsoft to have the license assigned to The Ohio State University production Tenant.
  • Once purchase is completed:
    • Requestor will need to submit a generic request with the IT Service Desk requesting to have the license(s) assigned with the below information.
      • SHI Order number (Quote/Order attached to ticket)
      • Microsoft acknowledgment order attached to ticket
      • PO Number
      • Quantity of licenses purchased
      • Coverage dates (Start and End dates)
      • Name.# for person(s) that need to be assigned a license.
  • Ticket will be assigned to the University Email Service Support assignment group to assign the license to the person(s).
    • UES/Office365 Services Team will verify licenses have been assigned to tenant, once verified, the license(s) will be assigned to the users.
    • ** If the licenses have not been assigned to the tenant the UES/O365 team member will reach out to the requestor to inform them the license(s) have not been assigned to the tenant and will work with requestor and SHI to resolve the licensing issue.
Critical Note

This is a yearly charge and will need to be renewed each fiscal year prior to June 30th.

The requestor is responsible for license renewal and initiating the renewal process with vendor. Requestor will need to submit a generic request to the IT Service Desk if license(s) are not renewed, change in name.#, or reduction in license count with name.# of who the license should be removed from.
