Signing an Offer Letter- External Candidate

This job aid provides guidance to external candidates for the Offer process, including reviewing & signing the offer letter and providing personal information -Social Security Number (SSN) and Date of Birth (DOB).


 

Review and Sign Offer Letter

  1. Navigate to the external career site and click Sign In.
  2. Sign in with the email address and password used for application.
  3. Select Candidate Home.
  4. In the My Tasks area, click the Review button next to the Review and Accept Offer Letter task.

  5. Click the eSign by DocuSign button. You will be moved automatically into DocuSign.

    Critical Note

    Though the Comment box shows a red asterisk and appears as a required field, it is only required for candidates choosing to decline the offer. If you accepted the offer, do not as a comment as comments are not easily visible to the Talent Acquisition Consultant.

  6. Read the Electronic Record and Signature Disclosure.
  7. Check the checkbox to agree to use electronic records and signatures.
  8. Click Continue.

  9. Type your Full Name and Initials in the Adopt Your Signature popup box.
  10. Click Adopt and Sign.   
  11. Click the X in the top-right corner to close the popup box.

  12. Complete all initials and signature in DocuSign, then click Finish

Helpful Note

You will receive a task completion pop-up box when the offer letter is signed. 

Critical Note

You will receive two additional tasks after submission of the signed offer letter. You may need to allow up to 20 minutes and refresh your screen for the Gov't ID and Personal Information tasks to appear on Candidate Home. 


Provide Gov't ID (SSN)

From the Candidate Home Page:

  1. Locate Provide Gov’t ID (SSN).
  2. Click Start.

  3. Click Add.
  4. Select United States from the Country drop-down menu.
  5. Select the National ID Type from the National ID Type drop-down menu.
  6. Type the Identification Number.

    Critical Note

    If you do not have a Social Security Number, leave this task blank and submit. 

    Helpful Note

    The Issue Date and Expiration Date are not required fields if you live in the United States. Selecting a different country may prompt those fields to become required. 

  7. Click OK.

    Add button, then country and natinal ID boxes with Ok button to finish
  8. Click the in the top-right corner to close the popup box.

Provide Personal Information (DOB)

From the Candidate Home page:

  1. Locate Provide Personal Information.
  2. Click Start.

    Provide Personal Information task under My Tasks on Candidate Home
  3. Type Date of Birth in the MM/DD/YYYY format.
  4. Click Submit.

    Date of Birth shown in MM/DD/YYYY format
  5. Click the in the top-right corner to close the popup box.

    Helpful Note

    You will receive a task completion pop-up box when each task is complete. When you have completed all tasks, the box will say you have no more tasks. 

    Thank you pop-up box with green check mark once both tasks in My Tasks are complete.
